Why use a standard salary or title change or promotion letter template?

  • To ensure consistent language is used when confirming a salary or title change or a promotion.
  • To ensure the change and rationale for it is documented and kept in the employee’s HR file.

What you risk by not using it

  • Important phrases or terminology are left out of confirmation letters. For example, you may forget to include a probation clause when an employee is promoted. Without it, you won't easily be able to return the employee back to their previous position without a label of constructive dismissal.
  • There's no formal record of the change or reason for it in an employee's file.

Tips

  • Some situations covered in this Salary or Title Change or Promotion Letter Template change the employee’s implied or written employment agreement.   Include language that references and replaces the appropriate clauses in the original or latest employment agreement.
  • If an employee is promoted into a new position, it’s critical that a probationary period is stipulated, otherwise demoting an employee back to their former position can easily be deemed constructive dismissal.
